Booking Terms and Conditions

These terms apply to players making a reservation through the Keyhowl booking form.

1. General Information

Keyhowl (“Keyhowl,” “we,” “us,” or “our”) provides a software platform used by escape room businesses to facilitate online reservations. By making a booking through Keyhowl, you (“you,” “your,” or “the Customer”) agree to the following Terms and Conditions.

2. Booking and Payment Policies

Booking conditions, payment terms, refund policies, and other transaction-related matters are determined solely by the escape room business with which you are making a reservation. Keyhowl acts only as a booking facilitator and is not responsible for the terms, conditions, or execution of bookings set by individual escape room businesses.

3. Data Collection and Usage

When you make a booking through our platform, we collect personal information including, but not limited to:

  • Full name
  • Email address
  • Phone number
This data is shared with the escape room business for the purpose of managing your booking. Escape room businesses may use your contact information to communicate regarding your reservation and may also send promotional messages or marketing campaigns.

Automated Notifications: You may receive automated communications including, but not limited to, booking confirmations, reminders, updates, satisfaction surveys, and re-engagement prompts. In some cases, if contact information was entered but the booking was not completed, follow-up messages may be sent regarding the incomplete reservation.

4. Third-Party Services

Escape room businesses may use third-party services (such as Mailchimp, SendGrid, or similar) to distribute marketing or transactional emails. These services operate independently, and Keyhowl does not control or assume responsibility for their privacy practices or content. We encourage you to consult the applicable privacy policies of such third-party providers.

5. Liability for Escape Room Experience

Keyhowl is a booking platform and is not responsible for the execution or quality of the escape room experience. The escape room business is solely responsible for providing the in-person experience, including any physical, technical, or operational aspects on the day of the reservation.

Waivers: Some escape room businesses may require participants to accept a liability waiver as a condition of participation. While the content of each waiver is determined solely by the respective escape room business, the waiver is presented, collected, and stored through the Keyhowl platform. Keyhowl provides the technical infrastructure for digital waiver management but does not author, review, or assume responsibility for the legal validity or enforceability of the waiver text supplied by the escape room business.

6. Modifications and Cancellations

Escape room businesses reserve the right to cancel, modify, or reschedule bookings due to unforeseen circumstances, including but not limited to force majeure events, technical issues, or staffing shortages. Any such changes will be communicated by the escape room business, along with any applicable options for rescheduling or refunds.

7. Support and Technical Assistance

If you encounter technical issues while using the Keyhowl booking form, please contact us for support. However, for inquiries related to reservation details, modifications, cancellations, refunds, or questions regarding the escape room experience itself, you must contact the respective escape room business directly.

8. Changes to These Terms

Keyhowl reserves the right to amend or update these Terms and Conditions at any time. Updates will be published on this page, and continued use of our booking platform constitutes acceptance of any revised terms.
